Before you can use Klar to refine issues in your project, your Project Admin needs to configure some key information.

Finding the configuration screen

Go into Project Settings > Apps > Klar. Once you get there, you may need to allow access. Once you do, the screen should look like this:

Refinement Questions

These are a series of questions that users must answer ‘Yes' to in order for the work items to be considered refined. You have two options as shown above: Create your own questions from scratch or add questions from a template.

Even if you start with a template you can always remove ones you don’t want and add ones you do. Using a template doesn’t restrain you, it just provides a starting point.

Adding questions

When you choose the option to add your own question, you will be presented with the following dialog

The only requirement is that you state your question. Please remember that you want the user to answer all questions with ‘Yes’ to denote a refined issue and make sure to word your question appropriately.

Adding common reasons

When a user selects a Yes or No answer, they will have the opportunity to provide a reason to further explain why they chose that answer. If there’s a common response users might need to comment with, you can save time by adding them here so they can select them.

You can easily make a team less agile by requiring an excessive amount of very detailed information before work can start. So, we advise you to carefully consider where that line is. What is the least amount of information you might need to be able to successfully start the work and have a minimal chance of it being blocked due to foreseeable issues? That should be the list of questions you ask.

Adjust this list as your team fixes issues they’ve had in the past or as they experience new causes of work items being blocked after they start.

Dependencies

Dependencies are a common cause of delays. Especially when we haven’t thought them through before starting work. Project admins can help teams identify dependencies during refinement by providing a common list to choose from.

Interested Parties

Many communication issues can be avoided if we spend time thinking about who needs to know what during refinement. Project admins can help identify interested parties by providing a common list to choose from.

If you do not provide any options for Dependencies or Interested Parties, they will not show up in the Klar app when people are refining issues.
